Dear Colleague:

It is our pleasure to officially announce the Call for Papers for the 2002 AAPS Annual Meeting and Exposition. The meeting will take place November 10-14, 2002 at the Metro Toronto Convention Centre, Toronto, Canada. The online abstract submission deadline is May 7, 2002.

Submission of your abstracts can be made online at https://abstracts.aapspharmaceutica.com/aaps2002 Enclosed are detailed instructions for the abstract submission process. These online instructions are for your reference when submitting your abstract via the web. For those without web access, you can submit your abstract to AAPS via diskette for a nominal fee. For more information on diskette submission go here.

We look forward to your participation in the 2002 AAPS Annual Meeting and Exposition. The preliminary program/registration booklet for this meeting will be available in June. Abstract Requirements


Abstract Submission

There are two ways to submit your abstract:

  1. Online

    Submissions can be made electronically by using the online submission system at:
    https://abstracts.aapspharmaceutica.com/aaps2002

  2. Diskette

    For those without Internet access, you may send a 3.5-inch diskette with the abstract submission pdf form. Diskette submissions will be charged a $75.00 (US) processing fee.

Note: Faxed or emailed submissions will not be accepted.

Organization

All abstract submissions are required to be structured under these headings:

  • Purpose
  • Methods
  • Results
  • Conclusions

These headings are provided in the online submission process if you choose to cut and paste your abstract. Place text for each heading in the appropriate text box. If you are submitting via diskette, make sure that you structure your abstract under these headings. Abstracts that are not organized in this manner will not be reviewed. If you have questions about the content or topic placement of your abstract, call AAPS at 703-248-4792. It is crucial that you choose the correct topic so that your abstract will be sent to the appropriate section for review and presentation at the meeting.

Size

All abstracts must fit within the allotted size requirement to be considered for review. The abstract must be 300 words or less. The submission system will not accept abstracts that are more than 300 words in length.

Text should be in Times font only.The font size should be 12-point. Greek letters and symbols may be placed in the abstract by clicking on the box in the online submission process above the abstract text box. Graphics and tables are equivalent to 25 words each.

Tables and Graphics

Authors may include tables and graphics in the abstract, as long as they fit within the size requirement. When submitting your abstract electronically, graphics and tables must be embedded into the abstract text and not linked. You do not need to submit tables in a separate file.

Graphic files may be sent in any format (preferably .GIF or .JPEG). Remember that your graphic will be printed in a 3.25-inch wide column. Make certain that your graphic is clear and readable at this size. Graphics must have 300 dpi resolution for clear reproduction.

Topics

Choose your topic carefully. The topic chosen for your abstract will be used for assignment into poster sessions and screening sections. Double-check that you have made the correct selection so it will be sent to the proper screeners for review. No changes can be made after the assignment.

Acceptance Criteria

Acceptance of the abstract for presentation will be based on the concise, accurate presentation of new data. Criteria for rejection include lack of data, commerciality, inconsistent or ambiguous data, reviews of literature, lack of novelty or innovation, or failure to follow format guidelines.

Some sections have their own set of guidelines and criteria for acceptance. Contact the screening chair for your section if you are unsure of the guidelines. A specific abstract example has been included by the APQ Section to help you in the submission process. This example can be found on the first page of the submission system by clicking on the style guide. Click here for a sample abstract.

It is imperative that data is presented in the results section so that AAPS screeners can judge the scientific value of your abstract.

The submission of multiple abstracts covering the same or similar work is discouraged. Authors are strongly encouraged to submit one strong abstract instead of several abstracts presenting the work in Part I, Part II, Part III, etc. Abstracts submitted in this fashion will be rejected.

Notification of Receipt and Verification of Submission

When using the online submission form, you will receive immediate confirmation via email with your control number included. Print this confirmation for future reference. This notification only confirms receipt of your submission and is not a notification of acceptance.

Screening/Presentation

The abstracts will be screened blindly, meaning no author affiliations will be provided to those screening the abstracts.

Final assignment to poster or poster/podium (oral) presentations will be made at the discretion of the screeners and according to the topic chosen by the authors. If you are interested in presenting your work as a poster/podium (oral), then you should pick the appropriate choice in the submission system. This designation will alert the screeners to give your abstract consideration for an oral presentation. Note: Not all sections have poster/podiums (oral presentations). Please verify that your section has a poster/podium before selecting this option.

Notification of Acceptance

Abstract status notifications will be sent via email to all submitting authors on July 8, 2002. If you do not receive this notification, please email AAPS at abstracts@aaps.org for an update on the status of your abstract.

If you did not use the online submission form, you will be mailed a notification of acceptance or non-acceptance on July 5, 2001. Notifications will be sent to the contact author only.

Abstract Revisions

Revisions to your abstract will not be allowed after submission. Please proofread and spell check your abstract carefully before submitting it. Abstracts will be printed exactly as they appear when submitted.

Abstract Appeals Process

If your abstract has been rejected and you would like to challenge the decision please proceed as follows:
  1. All appeals will first be communicated to AAPS at appeal@aaps.org within three days of notification.
  2. The Screening Chair of the section to which you have submitted will review the abstract again. You will then be contacted via email with the decision within a week. All initial appeals will be adjudicated by July 15, 2002.
  3. If the Screening Chair upholds the original rejection, the author may then appeal to the Section Chair via AAPS staff. The Section Chair will then contact AAPS with his/her decision and AAPS will send an email to the author informing him/her of the decision. The Section Chair has final say in all abstract appeals for the 2002 AAPS Annual Meeting and Exposition. Any appeals to other AAPS members will not be entertained.
  4. All final abstract appeals will be adjudicated by July 19, 2002. No revisions or modifications to abstracts will be allowed. The work will be reviewed as it was originally submitted. Authors may not supply additional data.

You must follow these steps in order to appeal your abstract rejection. Do not go directly to the Section Chair, as he/she will refer you back to the Section Screening Chair.

To withdraw a submitted abstract, written notification (email, fax or letter) must be sent to:

This notification must include the abstract title, authors and affiliations, the abstract confirmation number, and the name, affiliation, phone, fax and email of the correspondent. AAPS will acknowledge all withdrawal notifications by email, fax or letter. Due to publishing deadlines, withdrawal notifications must be received by June 28, 2002 to ensure withdrawal from publication.

Early Bird Submission Deadline

Win a free registration to the 2002 AAPS Annual Meeting and Exposition by submitting your abstract by April 30, 2002! AAPS will select one winner from those abstracts submitted before the early bird deadline for a complimentary registration to the 2002 AAPS Annual Meeting and Exposition. Mailed diskette submissions must be received (not postmarked) by April 30, 2002.

Abstract Submission Instructions


  1. Format Your Abstract

    For online submission and diskette submission, format your abstract in a word processing file, using Microsoft Word or WordPerfect.

    PLEASE SUBMIT ONLY ONE ABSTRACT PER DISKETTE OR ONLINE ENTRY

    1. All submissions MUST be in Time text only. The font size should be 12-point type. Verify that all symbols are correct in your submission.
    2. DO NOT INCLUDE THE TITLE IN THE ABSTRACT FILE. The title will be captured on the online Web form.You should include the title on the outside label of your diskette if you choose to submit in that format.
    3. DO NOT INCLUDE AUTHOR AND INSTITUTION INFORMATION IN YOUR ACTUAL ABSTRACT WORD FILE. The online system will be used to gather this data.
    4. When typing the abstract, observe the following:
      • Structure your abstract under the following headings: Purpose, Methods, Results, and Conclusions.
      • You may include tables or graphics in the abstract. To ensure we receive the tables in your file, embed the graphics, do not link them. All graphics must be uploaded via the Website (preferably in .GIF or .JPG format).
    5. If you need to acknowledge financial support received which enabled the research to be conducted, start a new paragraph (with no blank line after the abstract text) and type the acknowledgement. Place your acknowledgements after the conclusion in the abstract text.
    6. Review your abstract carefully when submitting. No changes in the content will be allowed after submission.

    Submit your abstract using the online submission system or complete the diskette submission form. / Mail the form and your abstract on diskette to the address provided under Paper Abstract Submission Deadline.

    Note: Failure to adhere to these format requirements will result in rejection of the abstract.

  2. Online Submission Method

    The online submission form uses a special file upload feature. To take advantage of this feature, you must use Netscape 3.0 or higher or Internet Explorer 4.0 or higher. The site allows you to download these versions.

    We strongly recommend that you submit your abstract in Microsoft Word or WordPerfect format (Windows or Macintosh).

    NOTE: In rare cases, you may not be able to use all the features of the site if your system administrator has configured a firewall to block "cookies." If this is the case, contact your system administrator and request your system to allow cookies. If this is not possible, use the PDF form and mail it with a diskette.

    • AAPS has included a new feature this year, which allows members to autofill all of their contact information. AAPS Members should click on the member choice in the system. Next, a prompt will appear asking for the membership identification number. Once this is supplied, all of the necessary contact information is automatically filled in. If you do not know your membership identification number, contact AAPS at 877-998-1177 for assistance.

  3. Diskette/Mail Method

    Diskette/Mail Method AAPS strongly encourages you to use the online submission form. However, if you do not have access to the Internet or have technical difficulties, you may submit your abstract by mail. Mailed submissions will be charged a $75 (US) fee. This can be paid by check or credit card. Checks can be made payable to AAPS-Abstracts. Abstracts sent without payment will not be accepted.

    1. Complete the submission form.
    2. Copy your abstract to a diskette.
    3. Please do not include your title in the body of the abstract text. This should be written on the label of the diskette along with the information below.
    4. Label the diskette with your name, the title of the abstract, word processing format, and the platform (Mac or Windows).
    5. Mail one copy of the form and one copy of the diskette with your abstract on it to:

    Graduate Award Programs

    The following graduate programs will take place during the 2002 AAPS Annual Meeting and Exposition:

    • AAPS Graduate Symposium in Analysis and Pharmaceutical Quality
    • AAPS Graduate Symposium in Biotechnology
    • AAPS Graduate Symposium in Drug Delivery and Pharmaceutical Technology
    • AAPS Graduate Symposium in Pharmacokinetics, Pharmacodynamics and Clinical Sciences
    • AAPS Outstanding Graduate Research Awards in Pharmaceutical Technologies

    If you are submitting your abstract for any of the above graduate programs, you must submit your abstract in accordance with the Call for Papers and also submit the completed nomination package (nomination requirements for the graduate programs are enclosed with this mailing to all graduate students).

    Applicants to the Graduate Awards Programs must submit their abstracts using the online submission as outlined in this mailing. Be sure to submit your abstract in advance of the Graduate Awards Program deadline of April 8, 2002 for all of the graduate programs except the graduate program in Pharmaceutical Technologies, which has a deadline of May 13, 2002. You must submit your abstract online before these deadlines, as your abstract confirmation number is required on the official nomination form to be considered for the award. Also, prepare your abstract in the four inches wide by seven inches tall format and provide a hard copy to be included with the Graduate Awards Program Nomination Package.
