PROCEDURAL GUIDE OF STUDENT CHAPTERS FOR THE AMERICAN ASSOCIATION OF PHARMACEUTICAL SCIENTISTS

This document is intended to serve as a procedural guide for the establishment and operation of Student Chapters of the American Association of Pharmaceutical Scientists (AAPS).

1. Establishment of a Student Chapter

1.1 A student group of AAPS members at any college or university, within or outside the United States, wishing to establish an AAPS Student Chapter must apply in writing to the Executive Council of AAPS.

1.2 If the Executive Council of AAPS is satisfied that the proposed Student Chapter meets the criteria for eligibility, the Executive Council will grant provisional status for a period of one year to allow for the organization of committees, activities and programs.

1.3 After one year of provisional status, a student group must submit a written report of its activities to the Executive Council and apply for full AAPS Student Chapter status.

2. Rules and Regulations

2.1 Objectives

An AAPS Student Chapter must conduct activities that are consistent with the following objectives:

    1. to increase student participation in the activities of AAPS at the local, regional, and national levels;
    2. to increase student awareness of career opportunities in the pharmaceutical sciences;
    3. to increase student awareness of the latest advances and discoveries in the pharmaceutical sciences;
    4. to provide educational opportunities for students in the pharmaceutical sciences to learn about all aspects of drug development;
    5. to provide students in the pharmaceutical sciences with opportunities for professional advancement and leadership development; and
    6. to foster participation in outreach activities that further the goals and objectives of AAPS.

      2. Eligibility

      Any student group of AAPS members affiliated with a college or university is eligible to establish an AAPS Student Chapter. Where there is more than one college or university located in close proximity to each other, students may establish a joint AAPS Student Chapter. Members of an AAPS Student Chapter must also be members of AAPS. To maintain its official status, an AAPS Student Chapter must:

      1. maintain a paid student membership of at least 15 AAPS members;
      2. conduct its activities in accordance with the Bylaws of AAPS;
      3. conduct activities consistent with the objectives described in Section 2.1;
      4. be organized along the general guidelines described in Section 2.4;
      5. submit an annual report describing the activities of the Chapter to the Faculty Representative (see Section 2.5).

      Failure to abide by these Rules of Eligibility may result in suspension of AAPS Student Chapter status.

      2.3 Membership

      Any undergraduate, graduate or post-doctoral student member of AAPS is eligible to affiliate with the nearest AAPS Student Chapter.

      2.4 Organization

      A. Officers: Whereas each AAPS Student Chapter may be organized in a way that reflects the local situation, each Student Chapter must elect a Chair, Vice-Chair, and a Secretary/Treasurer. The Vice-Chair and the Secretary/Treasurer may be re-elected to a second term.

      B. Faculty Representative: The elected offers of the Chapter will select a Faculty Representative to serve on the Executive Committee. The Faculty Representative must be an AAPS member and will be responsible for reviewing the annual report of the Chapter.

      C. Executive Committee: The Executive Committee will conduct the main business of the Student chapter. The Executive Committee will be chaired by the Chair of the AAPS Student Chapter and will be comprised of the Chair, Vice-Chair, Secretary/Treasurer, and the Faculty Representative. The Executive Committee will meet at least three times a year, or more frequently, if necessary.

      D. Standing Committees: Depending on the size and level of activity of the AAPS Student Chapter, the Chair of the Chapter may appoint a Program Committee to coordinate seminar speakers, conferences and functions; and a Membership Committee to coordinate recruitment. The Chair may also appoint other committees as needed to facilitate accomplishing the Chapter's activities in support of its objectives.

      2.5 Reports

        The Secretary/Treasurer of the AAPS Student Chapter will submit an annual report to the Faculty Representative, which contains:

        1. a summary of activities for the previous year;
        2. a summary of proposed activity for the next year; and
        3. a financial statement for the previous year

        2.6 Financial Arrangements

        A. An AAPS Student Chapter may not collect dues directly from its members; instead, it will receive an annual allocation of $500.00 per Chapter for the support of its activities and functions.

        B. Student Chapters may raise funds to support its activities. However, any proposed fund raising activities must be approved in advance by the Management Committee of AAPS.

        Revised 8/18/95

        EXCERPT FROM THE AAPS BY-LAWS

        ARTICLE XI. STUDENT CHAPTERS

        The Executive Council may establish such Association Student Chapters at institutions of higher education, within or outside of the United States, as it deems necessary or desirable to serve the needs or interests of students studying in the pharmaceutical sciences. Subject to the approval of the Executive Council, each student chapter may establish rules and procedures, including, but not limited to, those for organization structure, election of officers, programs, and funding. Membership in a student chapter shall be open to Association members who are undergraduate students, graduate students or postdoctoral students in an institution of higher education.
